Who we are
Safeli Limited ("Safeli", "we", "us", "our") is a company registered in England and Wales (company no. 16932254), providing commercial compliance management services, including fire risk assessments, water hygiene assessments, and health & safety management through our online platform. We are registered with the Information Commissioner's Office (ICO), registration number CSN8470526. We are the data controller for personal data collected through our website and services. What personal data we collect
Clients and portal users
- Name, job title, email address and phone number.
- Login credentials and account preferences.
- Photographs of premises and, where identifiable, people.
- Records of actions taken within the platform (audit trail).
- IP address and browser information for security purposes.
Website visitors and enquiries
- Name, email address and business name submitted via enquiry forms.
- Standard web analytics data (pages visited, time on site) - collected in aggregate.
Assessment and compliance records
- Names and contact details of site key contacts and responsible persons.
- Names of persons completing or witnessing events, drills and inspections.
- Names associated with actions raised, updated or completed.
How and why we use your data
Contractual performance (UK GDPR Article 6(1)(b))
- Providing you with access to the Safeli platform.
- Delivering compliance assessments, reports and recommendations.
- Managing your site records, documents and action plans.
- Processing payments and managing your account.
Legitimate interests (UK GDPR Article 6(1)(f))
- Improving the platform and our services.
- Security monitoring and fraud prevention.
- Sending service-related communications.
- Marketing our services to existing and prospective clients (you can opt out at any time).
Legal obligation (UK GDPR Article 6(1)(c))
- Maintaining records required by health & safety and fire safety legislation.
- Responding to lawful requests from regulatory authorities.
How long we keep your data
- Active account data - retained for the duration of your subscription plus 12 months.
- Compliance records and assessment reports - retained for 7 years from the date of issue, in line with fire and health & safety legislation.
- Enquiry and marketing data - retained for 3 years from last contact, unless you ask us to delete it sooner.
- Audit logs - retained for 7 years.
- You may request earlier deletion at any time (see "Your rights" below).
International transfers
Safeli is built on infrastructure provided by Base44 Ltd. Your data may be processed outside the UK. All such transfers are carried out using lawful transfer mechanisms including UK International Data Transfer Agreements (IDTA), Standard Contractual Clauses, or adequacy regulations. Base44 Ltd. is an active participant in the EU-US Data Privacy Framework. A full list of sub-processors is available on request.
Who we share your data with
- Base44 Ltd. - our platform infrastructure provider (ISO/IEC 27001:2022 certified, cert. no. 1127009).
- Your designated Safeli consultant and any team members you invite to your portal.
- Professional advisors (e.g. solicitors, accountants) where necessary and under strict confidentiality.
- Regulatory authorities where required by law.
- We do not sell your personal data to third parties.
Your rights
Under the UK GDPR, you have the following rights in relation to your personal data:
- Right of access - to request a copy of the personal data we hold about you.
- Right to rectification - to ask us to correct inaccurate or incomplete data.
- Right to erasure - to ask us to delete your data in certain circumstances.
- Right to restriction - to ask us to restrict processing in certain circumstances.
- Right to data portability - to receive your data in a structured, commonly used format.
- Right to object - to object to processing based on legitimate interests.
- Right to withdraw consent - where processing is based on consent, to withdraw it at any time.
- Right to lodge a complaint with the ICO at ico.org.uk or by calling 0303 123 1113.
Cookies and tracking
The Safeli platform uses only essential session cookies necessary for you to log in and use the service securely. We do not use advertising or tracking cookies. Our marketing website may use analytics cookies in aggregate form to help us understand site usage - these do not identify you personally.
Security
We take the security of your data seriously. The Safeli platform is hosted on ISO/IEC 27001:2022 certified infrastructure. All data is encrypted in transit (TLS) and at rest (AES-256). Access is restricted by role-based permissions and every action is logged in a complete audit trail. The platform undergoes periodic penetration testing and security audits.
Changes to this notice
We may update this Privacy Notice from time to time. We will notify you of material changes by email or via the platform. The current version is always available at safeli.co.uk/privacy. This notice was last updated: August 2026.
